Register in PowerManage

Overview​

The Register in PowerManage flow lets an employee request or create a PowerManage account from the login page by using the Sign up form.

Use this page to:

  • Register as an employee from the PowerManage login page.
  • Understand how Registration mode affects self-registration.
  • Review and approve pending employee registrations.
  • Complete first sign-in with a one-time password (OTP).
  • Set a permanent password after first sign-in.
  • Configure self-registration settings.

This page helps administrators control employee registration and helps employees understand the first sign-in flow.

Self-registration behavior depends on the Registration mode setting in Settings → Resolve → Self-Registration.

Before you begin​

Required permissions​

  • Employees must have access to the PowerManage login page.
  • Administrators must have permission to review pending employee registrations.
  • Administrators must have permission to approve or suspend pending employee registrations.
  • Administrators must have permission to edit Settings → Resolve → Self-Registration to change registration behavior.

Access to pending employee registrations and self-registration settings is controlled by role permissions. Exact permission names can vary by deployment.

Preconditions​

  • Registration mode must be set to Automatic approval or Manual approval.
  • Email delivery must be configured so PowerManage can send OTP emails.
  • The employee must have a valid, reachable email address.
  • The employee must have a valid phone number when the registration form requires it.
  • The employee must select a country from the registration form.
  • If a dealer ID is required or available, the employee must enter the correct dealer ID.

Dependencies​

  • OTP delivery depends on the configured email service.
  • Manual approval depends on administrator review in the Employees section.
  • Role assignment depends on the configured Default role or administrator review.
  • Dealer ID behavior depends on billing mode and dealer configuration.
  • First sign-in depends on the OTP received by email.

Important limitations​

  • When Registration mode is set to Disabled, the Sign up button is hidden on the login page.
  • In Manual approval mode, employees cannot sign in until an administrator approves the registration.
  • An incorrect dealer ID can prevent registration.
  • The OTP is removed after first use. If the employee refreshes the page before setting a new password, the OTP becomes invalid.
  • Starting from version 4.20, accounts with the Administrator role on JCI integration, development, or staging servers require an email address that ends with @jci.com.

The registration page opens from the Sign up button on the Log into PowerManage form. The Sign up button is available only when self-registration is enabled.

Sign up form​

The Sign up form lets an employee submit a self-registration request.

For an account with the Administrator role on JCI integration, development, or staging servers starting from version 4.20, the email address must use the @jci.com domain.

Review employee form​

The Review employee form is used only when Registration mode is set to Manual approval. Administrators use this form to verify pending registrations before approving access.

The Review employee form has editable fields. Verify the employee identity, email address, country, dealer information, and role before selecting Approve.

Log into PowerManage form​

The Log into PowerManage form is used for first sign-in with the OTP received by email.

The Edit self-registration settings form controls how self-registration works from the login page.

How to use this page​

Register by self sign-up​

Goal:

  • Register from the login page.

Steps:

  1. On the Log into PowerManage form, select Sign up.
  2. In the Sign up form, enter Name.
  3. Enter a valid, reachable Email address.
  4. Enter Phone number.
  5. Select Country.
  6. If Dealer ID is shown and available, enter the dealer ID.
  7. Select Sign up.

Expected result:

  • If Registration mode is Automatic approval, the account is created and approved. PowerManage sends an OTP email.
  • If Registration mode is Manual approval, the account is created in suspended status. PowerManage sends an email confirming that the account is waiting for approval.
  • If Registration mode is Disabled, the Sign up button is hidden.

Approve a self-registered employee​

Goal:

  • Review and approve a pending employee self-registration request.

Steps:

  1. Sign in to PowerManage with administrator permissions.
  2. Open the Employees section.
  3. Review the notification badge that shows new registrations waiting for review.
  4. Open the action menu for the employee.
  5. Select Review.
  6. Verify the employee details.
  7. Assign the correct value in Belongs to Role.
  8. Select Approve.

Expected result:

  • The employee is approved.
  • PowerManage sends an email containing the OTP and a direct login link.
  • The employee can continue with first sign-in.

Suspend a self-registered employee​

Goal:

  • Keep a pending employee self-registration request suspended.

Steps:

  1. Sign in to PowerManage with administrator permissions.
  2. Open the Employees section.
  3. Open the action menu for the employee.
  4. Select Review.
  5. Verify the employee details.
  6. Select Suspend.

Expected result:

  • The employee remains suspended.
  • The employee cannot sign in.

Complete first sign-in with OTP​

Goal:

  • Sign in for the first time and set a permanent password.

Steps:

  1. Open the direct login link from the OTP email or open the login page.
  2. In Email, enter the registered email address.
  3. In Password, enter the OTP.
  4. Select Sign in.
  5. In New password, enter a permanent password.
  6. In Confirm new password, enter the same password.
  7. Select Set password.

Expected result:

  • PowerManage validates the OTP.
  • PowerManage saves the permanent password.
  • If MFA is disabled, the employee is signed in.
  • If MFA is enabled, sign-in continues with the MFA flow.

If the OTP becomes invalid, use Forgot password? on the login page to request a new OTP.

Configure self-registration settings​

Goal:

  • Enable, disable, or require approval for self-registration.

Steps:

  1. Open Settings → Resolve → Self-Registration.
  2. Select the pencil icon.
  3. In Registration mode, select one of the following values:
    • Disabled
    • Manual approval
    • Automatic approval
  4. In Default role, select the role for employees who register without a valid dealer ID.
  5. Select Save.

Expected result:

  • PowerManage saves the settings.
  • The change is recorded in the Action Log.
  • The login page behavior changes according to the selected registration mode.

Tips​

tip
  • Use Manual approval when employees must be reviewed before access is granted.
  • If Manual approval is used, assign a default role with no permissions and update permissions only after review.
  • Verify employee identity, email address, country, dealer ID, and role before approving a registration.
  • Keep the OTP email available until the permanent password is set.
  • If the OTP becomes invalid, use Forgot password? to request a new OTP.

Troubleshooting​

Sign up button is not shown​

Possible causes

  • Registration mode is set to Disabled.
  • The employee is not on the correct login page.

What to do

  1. Ask an administrator to open Settings → Resolve → Self-Registration.
  2. Check Registration mode.
  3. Select Manual approval or Automatic approval if self-registration must be available.
  4. Save the settings.

Registration fails with dealer ID error​

Possible causes

  • The dealer ID is incorrect.
  • The server has billing enabled and requires a valid dealer ID.
  • The dealer ID field is empty when billing+ requires it.

What to do

  1. Verify the dealer ID with the organization that provided it.
  2. Re-enter the dealer ID.
  3. If the employee should register without a dealer ID, confirm that the default role is configured.
  4. Try registration again.

Employee cannot sign in after manual registration​

Possible causes

  • The account is still suspended.
  • An administrator has not approved the registration.
  • The approval email with OTP was not sent or received.

What to do

  1. Ask an administrator to open the Employees section.
  2. Review the registration status.
  3. Approve the employee if the registration is valid.
  4. Check that the employee receives the OTP email.

OTP does not work​

Possible causes

  • The OTP was already used.
  • The employee refreshed the page before setting a new password.
  • The OTP was entered incorrectly.
  • The OTP expired or was replaced by a newer OTP.

What to do

  1. Confirm that the OTP was copied correctly.
  2. Use the latest OTP email.
  3. If the OTP was used or invalidated, select Forgot password? on the login page.
  4. Use the new OTP to sign in and set a permanent password.

Password cannot be set​

Possible causes

  • The password has fewer than 8 characters.
  • The password does not include at least 1 letter, 1 number, and 1 special symbol.
  • The password and confirmation do not match.

What to do

  1. Enter a password with at least 8 characters.
  2. Include at least 1 letter, 1 number, and 1 special symbol.
  3. Re-enter the same password in Confirm new password.
  4. Select Set password.
